How Tribe Organics Replaced Thousand-Line Invoices with Transparent Cost-Plus Billing

From Billing Complexity to Clarity

Tribe Organics sells capsule and powder supplements through DTC channels and retail partners including iHerb. Their products require strict lot tracking, expiration management, and barcode compliance for every retail shipment — operational requirements that most 3PLs charge premium prices to support.

Before partnering with Founders 3PL, Tribe Organics dealt with invoices containing thousands of line items, slow customer service responses, no expiration tracking, and inadequate retail compliance processes. Understanding what they were actually paying for required forensic accounting.

Since moving to Founders 3PL, Tribe Organics operates under a simple cost-plus model with full lot and expiration tracking, automated barcode validation, and EDI-compliant fulfillment for retail partners.

Lot and Expiration Tracking

Supplements have a two-year shelf life, and retail partners like iHerb require accurate lot numbers and sufficient remaining shelf life on every shipment. Tribe's previous provider had no expiration tracking system, which meant the company couldn't guarantee FEFO rotation or verify lot data before shipment.

Founders 3PL implemented full lot and expiration tracking with First Expired, First Out inventory management. Every unit is tracked from receiving through shipment, and the system alerts the team when products approach expiration thresholds set by each retail partner.

Multi-Channel Barcode Control

Tribe Organics uses different barcodes for retail and DTC channels — a requirement driven by retailer-specific UPC assignments. Their previous 3PL couldn't reliably distinguish between barcode sets, leading to mis-labeled shipments and retailer chargebacks.

Founders 3PL's system supports multiple barcode configurations per SKU, applying the correct barcode and labeling rules based on the order's sales channel. Orders for iHerb include barcode and lot validation before shipment, ensuring every unit meets the retailer's receiving requirements.

Simplified Billing

Tribe's previous provider generated invoices with thousands of individual line items — one for every pick, every label, every storage day. Reconciling these invoices against actual services consumed hours of staff time every billing cycle.

Under Founders 3PL's cost-plus model, Tribe pays actual costs plus a fixed 20% margin. Invoices are clear, concise, and auditable. The company can verify exactly what they're paying for without cross-referencing thousands of micro-charges.

EDI Integration

Retail partners like iHerb require EDI document exchange — purchase orders, advance ship notices, and invoices must flow electronically in standardized formats. Tribe's previous provider treated EDI as an add-on service with premium pricing.

Founders 3PL handles EDI integration as part of standard operations. Orders from retail partners are ingested, validated, fulfilled with lot-tracked inventory, and confirmed with proper ASN documentation — all within the standard cost-plus billing structure.

Our old 3PL sent us invoices with thousands of line items and couldn't track expiration dates. Founders 3PL gave us lot tracking, retail compliance, and a bill we can actually read.
